JOB SUMMARY

Join our dynamic team as an Administrative Assistant in our corporate office. In this role, you'll play a crucial part in ensuring the smooth operation of one or more departments. We are seeking a highly organized and proactive individual to handle general clerical, receptionist duties, and contribute to various projects. Uphold our professional image through in-person, electronic, and phone interactions.


DUTIES AND RESPONSIBILITIES

  • Provide comprehensive administrative support to designated teams or departments. Also managing daily tasks and ongoing projects.
  • Create, format, maintain forms and spreadsheets to streamline processes while enhancing efficiency.
  • Innovate and improve administrative procedures to optimize workflow and productivity.
  • Draft and distribute professional emails to teams and departments, ensuring clear communication.
  • Monitor and manage office mailing supplies and placing orders when necessary.
  • Handle incoming and outgoing mail, including sorting, stamping, processing, and overseeing priority or overnight shipments.
  • Track postage, manage envelope inventory, and update relevant records monthly.
  • Download and upload files on the health plan portal, maintaining up-to-date records.
  • Uphold member/patient privacy in accordance with HIPAA standards, ensuring confidentiality.
  • Maintain accurate visitor sign-in sheets and assist with office supply, flower, and gift card orders as requested.
  • Assist with managing conference room calendars, contribute to the Safety Committee binder, and perform other duties as assigned.
Requirements
  • High school diploma or equivalent required. Associate degree or equivalent experience highly preferred.
  • 2-3 years of relevant professional experience, including healthcare and project coordination.
  • Exceptional organizational skills.
  • Effective verbal and written communication skills.
  • Strong analytical skills for creative problem-solving.
  • Proficient in MS Office Applications; ability to learn specific software systems.
  • High attention to detail and accuracy.

 

Compensation:  $17.79 -  $26.68  

Exact compensation may vary based on skills, experience, and location.
