Job description

Flyer One Ventures — is an early-stage venture capital firm that invests in early-stage startups from Europe and North America. Our team is based in Portugal, Poland, Ukraine and other European countries. After we invest in startups, we help them with digital marketing, recruiting, PR, business development, fundraising preparation, and raising round.

Currently, we are looking for a proactive and detail-oriented Office Manager/ HR Admin to manage our operational, administrative, and people-related functions. You'll help maintain smooth daily operations while creating a positive work environment and exceptional employee experience.

About You

  • 1+ year of experience as Executive Assistant/ Office Manager / HR Admin.
  • You’re ready to bring your organizational expertise and people-first approach to a team that values collaboration and innovation.
  • Passionate about enhancing employee experiences through onboarding, events, and well-being initiatives.
  • Excellent at collaborating with teams, vendors, and leadership to ensure smooth operations.
  • Skilled in coordinating schedules, managing supplies, and handling office logistics.

What You Will Do

Office and Operations Management

  • Oversee daily office operations—managing supplies, equipment, and workspace setup.
  • Handle business trip logistics, including travel bookings and documentation.
  • Process incoming and outgoing parcels efficiently.
  • Manage expense reimbursements and assist with financial reporting.
  • Coordinate with vendors and external partners.
  • Manage workspace bookings for team members and partners.

Employee Experience & Engagement

  • Lead employee onboarding and offboarding to ensure smooth transitions.
  • Organize engaging team events and activities, both online and offline.
  • Coordinate company merchandise and employee gifts.
  • Create and run team challenges to boost morale.
  • Serve as main contact for insurance and employee well-being services.

Communication & Coordination

  • Drive internal communications in work chats.
  • Work with executive assistants on scheduling and administrative needs.
  • Manage international travel logistics, including legal documentation.
  • Share updates about new programs, learning opportunities, and team member welcomes.

General Administration

  • Maintain accurate financial records and reports.
  • Support HR functions, including policy management and benefits administration.
  • Handle day-to-day administrative tasks as needed.
