Job Description

As the Admin Assistant, you’ll be at the heart of our operations, ensuring smooth communication flows, efficient record-keeping, and seamless client management. Responsibilities
  • Manage multiple email accounts with finesse, ensuring prompt and professional responses to client inquiries and maintaining a well-organized inbox
  • Master the Splosh (SPLOSE) CRM system to efficiently update and send service agreements, keeping client information accurate and up-to-date
  • Contribute to financial health by performing basic bookkeeping tasks in Xero, including precise invoice reconciliation
  • Implement and maintain a robust electronic filing system, ensuring all client information and communications are easily accessible and securely stored
  • Provide crucial administrative support to the practice owner, adapting to various tasks as needed and contributing to the overall efficiency of the practice
  • Collaborate with the therapy team to ensure smooth scheduling and communication with clients, enhancing the overall client experience


Requirements
  • Proven track record in email management and digital organization, with the ability to handle high-volume communication efficiently
  • Experience with CRM systems, preferably Splosh (SPLOSE) or similar healthcare-oriented platforms; quick learner for new software
  • Basic understanding of bookkeeping principles and familiarity with Xero or similar accounting software
  • Exceptional written and verbal communication skills, with the ability to interact professionally with clients and healthcare professionals
  • Strong time management skills and the ability to work independently in a remote setting
  • Passion for the healthcare industry and a desire to contribute to a practice that improves people’s lives
  • Flexibility to adapt to changing priorities and take on new challenges in a growing practice
