Description

The Payroll Analyst is responsible for the timely and accurate processing of multi-state payroll for 800+ associates across multiple entities and locations. This position requires ability to perform a large scope of payroll and benefits related activities including auditing, reconciliation, analysis and review.  

The Payroll Analyst must come with excellent customer service and communication skills, with the ability to maintain confidentiality of sensitive payroll and benefits data and the ability to take direction, prioritize tasks and maintain confidentiality of sensitive payroll and benefits data. 

 

What You’ll Do:  

 

Payroll Responsibilities: 

  • Maintain integrity of payroll database by ensuring accurate processing of new hires, status changes, tax updates, etc. 
  • Manage complex employee transfers within payroll system (i.e. accurately process employee transfers between multiple entities and locations) 
  • Ensure proper set up of state tax codes at employee level  
  • Import and reconcile payroll data from timekeeping system for payroll processing 
  • Perform various calculations (e.g. pay adjustments, overtime, PTO balances, etc.) 
  • Process weekly and/or biweekly payrolls reviewing all changes are reflecting correctly 
  • Perform comprehensive audit of biweekly payroll and reconcile results prior to submission 
  • Generate standard and ad hoc payroll reports  
  • Work with large data sets to produce reports and spreadsheets for various stakeholders 
  • Troubleshoot technical issues with payroll and time keeping systems 
  • Respond to employment verifications and unemployment claims 
  • Assist with payroll help desk; Research and respond to employee questions and requests 
  • Maintain payroll records and update payroll documentation as needed 
  • Ensure compliance with federal, state, and local payroll and labor laws 
  • Year-end payroll activities (i.e. W-2 and 1095-C administration) 
  • Coordinate payroll tasks related to property acquisitions and dispositions 
  • Learn new systems and processes as required 
  • Understand and adhere to internal control processes as they relate to payroll 
  • Lead system changes based on company and/or legal requirements  

 

Benefits Administration Responsibilities: 

  • Assist in benefits enrollment and ensure proper payroll deductions for benefit plans 
  • Support open enrollment activities, including auditing enrollment data and updating associate records.  
  • Address employee benefits-related inquiries, including health insurance, retirement plans, and other benefits offerings 
  • Coordinate with benefits providers and resolve any discrepancies in benefit deductions or coverage 
  • Assist in managing leave of absence policies, including FMLA and disability benefits, ensuring accurate payroll adjustments 
  • Maintain compliance with benefits regulations, including ACA reporting and other federal/state requirements 

 

Skills & Experience Needed:  

  • Bachelor’s degree preferred; High School Diploma or equivalent required. 
  • Knowledge of standard multi-state payroll practices including California  
  • Knowledge of Canadian Payroll preferred but not required 
  • Minimum of 3 years payroll processing experience  
  • Experience using a HRIS system, preferably Paycom 
  • Ability to work under time constraints 
  • Excellent attention to detail and ability to multitask 
  • Intermediate Excel skills 
  • Excellent written and verbal communication skills 
  • Proven ability to work in a fast-paced environment while maintaining accuracy and timeliness with tasks and assignments  
  • Maintain the highest level of confidentiality and protection of all payroll and employee related data/information
