WHAT WE ARE LOOKING FOR 
 
The Sr. Event Technology Project Coordinator will serve as a lead on small to medium scale in-person and/or digital events simultaneously, as well as in a support capacity on medium to large scale events. This role is responsible for project managing event registration and digital platforms, which includes working with clients and other stakeholders to build effective event experiences (registration tools builds, digital platforms, attendee-facing event tech/tool suites), overseeing vendors, and actively managing the attendee registration process.  
This role helps manage the digital experiences of events, in some cases independently and in other cases leading or in conjunction with a team. This role ensures that planning schedules are met, correct Opus processes are being implemented, and that client needs are anticipated and exceeded. 
This is a client-facing role, which will work directly alongside Opus Project Managers, Technical Architects, and Attendee Support personnel to deliver unforgettable experiences and delight our Fortune 100 & 500 corporate clientele. 
YOU SHOULD HAVE 
 
  • 2-3+ years of experience in a relevant role is required, with preference for experience in corporate events with the following tools: Rainfocus, Stova, Swoogo, Bizzabo, Cvent, Eventbase
  • Proven experience in coordination of projects or events successfully from concept to execution
  • Bachelor's degree from four-year institution is preferred.
  
ESSENTIAL DUTIES AND RESPONSIBILITIES
 
  • Work as lead on small to medium events (up to approx. 1,000 in person, 10,000 digital) and in support roles on large programs (up to approx. 60,000 in person, 300,000 digital).
  • Independently manages and supervises all assigned tasks on a variety of event types, for multiple projects simultaneously.
  • Consult clients on registration website builds and digital tool configuration, and actively participates in scoping of custom event in area of focus.
  • Create a workback timeline and ensure the timeline is followed.
  • Create and maintain documentation and manage content for registration website/digital tools.
  • Demonstrate proficiency in using known and new digital tools and platforms, including understanding how functionality impacts user experience and troubleshooting technical solutions.
  • Understand in depth the area of the event staffed on and can speak intelligently to clients on this area; knowledge of who fills other roles on team and where to find related resources.
  • Participate actively in team and client meetings and document meeting outcomes. Able to lead recurring client meetings.
  • Complete all projects thoroughly within hourly goal and budgetary requirements by using the most efficient methods to execute each project and task.
  • Participate in internal training and suggest improvements to department resources/processes.
  • Regularly uses common Excel formulas, and can create, edit, and present reports to client team.
  • Manage simple registration areas onsite and support larger onsite setup requiring multiple kiosks.
  • Supervise and train onsite temporary staff.
  • Develop attendee support plans on own or in conjunction with Customer Service Lead.
  • Understand badge security plans.
  • Create basic risk mitigation plans and quickly adapts to changing circumstances requiring changes to plans.
  • Note: The Sr. Event Technology Project Coordinator may be placed in staffing assignments including event technology project management/support, registration management/support, housing management/support, and customer service.

  • Microsoft Office suite program experience (Outlook, Excel, OneNote); Excel and spreadsheet experience strongly preferred.
  • Language Skills - Ability to write reports, business correspondence, and procedure manuals. Ability to present information and respond to questions from a group of managers, clients, customers, or the public. Ability to interact both on a one-to-one and group basis.
  • Mathematical Skills - Ability to apply concepts of basic algebra and geometry, fractions, percentages, ratios, and proportions to practical situations. Ability to create, monitor and understand budgets, debits, credits, and reconciliation.
  • Reasoning Skills - Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
TRAVEL AND FLEXIBLE SCHEDULE REQUIRED 
This position is required to travel to attend events. Air travel and overnight stays are required. There will occasionally be the need to work outside standard business hours. 
  
HOW WE’LL TAKE CARE OF YOU 
 
Our job titles may span more than one career level. The starting salary for this role is between $58,000 and $65,000. Our salary ranges are based on third-party national average market compensation analysis. The actual salary is dependent upon many factors, such as training, transferable skills, work experience, business needs, and market demands. The salary range is subject to change and may be modified in the future.
