Work Schedule: Monday to Friday, 10:00 AM to 7:00 PM California Time, with a one-hour unpaid lunch break.
Hours: 40 hours per week, with 8 hours per day.
Reporting: Training will be ongoing, with direct reporting to the owner for guidance and support.
Responsibilities:
Calendar Management: Assist with daily scheduling, task organization, and email correspondence to ensure efficient time management for the executive.
Travel Coordination: Coordinate travel arrangements and logistics, including booking accommodations and transportation.
Research Support: Conduct online research and prepare summaries based on findings to assist the executive in decision-making.
Meeting Support: Attend executive meetings, take accurate minutes, compile notes, and track action points to facilitate smooth communication and follow-up.
Task Prioritization: Prioritize tasks for various teams, monitor progress, and provide regular updates to senior management to ensure deadlines are met.
Financial Assistance: Assist with expense reconciliation, financial tracking, and oversight of bank accounts to maintain financial records accurately.
Administrative Support: Handle office administrative tasks as directed, ensuring the smooth operation of day-to-day activities.
Document Management: Manage and organize internal documents, promotional materials, and digital folder structures for easy access and retrieval.
Communication Liaison: Act as a liaison between the executive and other departments, facilitating communication and resolving requests and queries promptly.
Requirements:
Exceptional Organization: Demonstrated attention to detail and organizational capabilities to manage multiple tasks efficiently.
Strong Communication Skills: Outstanding written and verbal communication proficiency to interact effectively with internal and external stakeholders.
Experience: Minimum of three years of experience in an executive assistant role, with a proven track record of supporting senior management effectively.
Technical Proficiency: Proficiency in MS Office Suite, particularly Excel and Outlook, to manage calendars, emails, and documents effectively.
Adaptability: Ability to adapt and thrive in a fast-paced environment, managing changing priorities and deadlines effectively.
