Job description

Bilingual Project Coordinator – Equipment & Logistics (Remote)

We have three open roles in the printing industry for detail-oriented professionals to oversee equipment monitoring, pre-delivery coordination, delivery communication, and reporting. These positions require bilingual fluency in English and French to support clients in both languages, ensuring seamless communication with stakeholders, carriers, and on-site teams during implementation. Candidates will act as the central point of contact for planning, issue resolution, and successful project execution.

What is in it for you:

• Hourly salary of $32.60.
• 6-month contract.
• Full-time position: 37.50 hours per week.
• Remote position.

Responsibilities:

• Monitor individual orders and escalate delayed shipments.
• Confirm equipment orders for accuracy and resolve discrepancies.
• Maintain and update the XOS Order Tracking Spreadsheet (Shipping Log).
• Communicate with carriers for scheduling deliveries and resolving issues.
• Schedule and coordinate site walk-throughs to validate site readiness.
• Ensure proper setup of trainers, installers, and required customer resources.
• Distribute asset tags, pre-toner orders, training, and installation sheets.
• Provide implementation procedures to the Implementation Manager and assist in escalations.
• Act as a single point of contact for implementation planning and issue resolution.
• Confirm equipment deliveries and escalate issues with defective devices.
• Train on-site implementation resources, including third-party installers and analysts.
• Coordinate the removal and disposal of equipment when necessary.
• Maintain adherence to Black Belt project process flows.
• Update and review site workbooks and distribute the daily ship log.
• Facilitate implementation status calls with account teams.
• Complete asset disposition reporting within the required timeframe.
• Utilize relevant tools, including IMP1, XOS Order Tracking Spreadsheet, Microsoft Excel, and Outlook.

What you will need to succeed:

• High school diploma or equivalent required.
• Certification A+, N+ required.
• Preferred: Bachelor’s degree, MCSE, CNE, or other technical certifications.
• Ability to obtain Governmental Clearance.
• 3+ years of project coordination or administrative executive experience.
• 3 years of project management experience.
• Strong organizational skills to manage multiple coordination tasks and prioritize effectively.
• Excellent written and verbal communication skills for reporting and customer interactions.
• Ability to work with diverse internal and external stakeholders.
• Strong problem-solving, analytical, and negotiation skills.
• Ability to manage project schedules within budget constraints.
• Capable of handling change under pressure.
• Proficiency in Microsoft Excel and other relevant tools.
• Self-motivated and able to work efficiently without direct supervision.
• Experience in a team-oriented environment with strong presentation skills.
• Ability to sit for long periods while working in a virtual office setting.
• Bilingual in English and French to support clients in both languages.
• Excellent written and verbal communication skills.
