Your Role At A Glance

The Corporate Executive Assistant is a highly skilled, technologically advanced professional responsible for managing complex executive support functions across multiple executives and senior leaders and will report in directly to the President. This role demands a proactive, tech-savvy individual who excels in a fast-paced environment, utilizing digital tools and automation to boost productivity and efficiency. 

How You’ll Drive Success
Executive Support & Coordination
  • Provide high-level administrative support to multiple executives, managing schedules, meetings, expenses, and travel with precision. 
  • Act as a central point of contact between executives, teams, and external stakeholders, ensuring seamless communication. 
  • Prepare and edit reports, presentations, and correspondence using advanced productivity tools. 
  • Manage and prioritize emails, tasks, and requests, leveraging AI-based tools and automation where possible. 
  • Facilitate meetings and discussions to achieve alignment across the executive leadership team. 
  • Maintain discretion and confidentiality in handling sensitive company and executive information. 
Technology & Automation 
  • Utilize and manage advanced digital tools, including AI-driven scheduling, CRM platforms, collaboration software, and workflow automation tools. 
  • Optimize executive workflows by implementing and managing productivity-enhancing technologies. 
  • Troubleshoot basic IT issues for the Executive team and liaise with the IT team for complex technical support. 
  • Support executives by providing data-driven insights into organizational health, including financial, commercial, and operational performance using advanced reporting tools. 
  • Leverage data analytics to track executive performance metrics and suggest improvements. 
Project & Task Management
  • Partner with the Project Management Office to oversee cross-functional projects, ensuring deadlines and deliverables are met. 
  • Manage executive priorities using project management software. 
  • Assist with strategic planning and execution by preparing reports, dashboards, and data-driven insights. 
Travel & Event Management
  • Plan, coordinate, and optimize complex travel itineraries using advanced travel management tools. 
  • Organize executive offsites, board meetings, and corporate events with a focus on seamless execution. 
  • Handle expense reporting, budget tracking, and financial reconciliation through digital expense management platforms.

Education
  • Bachelor’s degree in business administration or related field is strongly desired, or equivalent work experience. 
  • Notary preferred. 
Required Skills
  • Minimum of 8 – 10 years of experience working in a corporate setting in an administrative capacity, with a minimum of five years supporting senior management or executives.
  • Proven experience in technology-driven administrative support and workflow automation.
  • Advanced proficiency in Microsoft 365 and project management tools (Asana, Monday.com, Trello).
  • Solid experience with AI-driven scheduling, CRM systems (Salesforce, HubSpot), and automation tools.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work in a fast-paced, high-pressure environment with discretion and professionalism.
  • Exceptional written and verbal communication skills.
  • Ability to travel globally on behalf of the organization and in support of executive leadership.
Preferred Skills
  • Experience with data analytics tools such as Microsoft Excel, PowerBI, R, and Python.
  • Previous experience in the software or technology industry.
