Domaine is seeking a highly organized and collaborative Resourcing & Operations Coordinator to strategically manage and allocate talent across our projects. This role ensures that projects are staffed with the appropriate expertise to meet client needs while optimizing workload distribution. This role will also be responsible for setup + maintenance of project resource management tools (Productive.io). The ideal candidate will have strong process management skills, a keen understanding of resource planning, familiarity with numerical analysis, and the ability to collaborate effectively across teams.

Responsibilities

Short Term Resource Planning:

  • Monitor day-to-day project activities and corresponding resourcing needs.
  • Collaborate closely with product managers and department leadership to understand immediate project needs as they relate to resourcing needs.
  • Guide collaboration between product managers and department leadership to optimize team and department resourcing allocations
  • Assign the most suitable team members based on skills, experience, and availability with input from department leadership.
  • Optimize short-term resource allocation by balancing workloads, project priorities, and potential conflicts.
  • Manage resource conflicts and provide solutions to ensure smooth project execution.
  • Conduct weekly meetings with department leads to review upcoming + immediate resourcing decisions.

Long Term Resource Planning:.

  • Monitor long-term close-to-close sales activity and corresponding resourcing needs.
  • Collaborate closely with sales directors, department leadership, and project managers to understand project timelines and scope complexities as they relate to resourcing needs.
  • Assign the most suitable team members based on skills, experience, and availability with input from department leadership.
  • Review + maintain staffing plans to ensure adequate resourcing across all project lifecycles.
  • Optimize long-term resource allocation by balancing workloads, project priorities, and potential conflicts.
  • Conduct weekly meetings with sales directors and account managers to ensure alignment between team capacity and upcoming projects and business development efforts.

Metrics Reporting + Monitoring:

  • Maintain reports + SOP documentation, such as but not limited to:
    • Utilization + schedule reports
    • Project + department resourcing reports
    • Resourcing request processes
    • Scheduled + logged hours reports
    • Project tool setup and maintenance processes
    • Time logging reports
  • Track + report on company performance metrics such as utilization and schedule compliance.
    • Identify utilization trends in departments + team members
    • Identify schedule compliance trends in projects + retainers
  • Identify resourcing shortages through diligent reporting and recommend strategies for hiring, reallocating, or workload adjustments.
  • Identify training and development needs by providing team or project related feedback to department leadership in order to enhance team capabilities.
Resource Operations Tool Management

  • Setup newly sold engagements within the resource + budget management tool (Productive.io) leveraging sales estimators and resource planning best practices
  • Setup and maintain new user profiles, access, and tagging in resource + budget management tool (Productive).
  • Create, maintain, update & assign placeholders as project team resourcing decisions are made
  • Support onboarding new team members to time tracking, resource planning, and budget management tool (Productive)

Qualifications

  • Bachelor's degree in Human Resource Management, Business, Management, or a related field.
  • Previous experience in resource planning, project management, or HR is preferred.
  • Strong understanding of project resourcing tools, workforce analytics, and capacity planning.
  • Proficiency in resource management software, CRM, or PSA tools, Productive + Hubspot are a plus.
  • Project management certification (e.g., Project Resource Management) is a plus.
  • Knowledge of applicable labor laws and industry best practices.
  • Ability to manage multiple tasks efficiently and prioritize effectively.
  • Strong critical thinking, analytical, and forecasting skills.
  • Conflict-resolution and problem-solving abilities.
  • Excellent communication, negotiation, and collaboration skills.
  • Managerial and time-management capabilities.

The Pay Range For This Role Is

45,000 - 55,000 USD per year(All)
