Monday to Friday, 10am to 7pm Eastern Standard Time (Port Washington, NY) with an hour's unpaid break
Scope:
Direct reporting to business owner
Initial training period for email management and QuickBooks processes
Gradual increase in responsibility as processes are learned
Potential to expand role and hours based on performance
Responsibilities:
Manage and triage email communications following established protocols
Process wire transfers and check payments through online banking platforms
Complete city-related forms and administrative documentation
Enter and categorize transactions in QuickBooks
Track payment schedules and maintain financial records
Handle general administrative tasks and data entry
Maintain organized documentation systems
Manage email communications
File and organize documents across multiple categories (insurance, loans, city documentation)
Take initiative in suggesting process improvements
Handle calls
Requirements
Strong problem-solving and decision-making abilities
Excellent attention to detail and organizational skills
Basic understanding of financial transactions and record-keeping
Proficiency in QuickBooks or willingness to learn
Strong English communication skills
Ability to follow detailed instructions and establish processes
Self-motivated with capability to work independently
Reliable internet connection and home office setup
Proficiency with digital tools including SharePoint, email, and PDF management
Fluent English communication skills with strong phone capabilities
