Job description

This is a remote position.

Virtual Rockstar is seeking a highly skilled and proactive Executive Assistant to support our client’s financial team. The ideal candidate will excel in managing client interactions, organizing schedules, and maintaining efficient operations to ensure the success of our client’s financial group. Proficiency with Outlook, Excel, Microsoft Office, and Zoom is preferred.

Responsibilities:

  • Client Onboarding: Manage new clients from their initial meeting through the completion of their onboarding process.

  • Client Management: Utilize Excel to maintain client records, track interactions, and manage follow-ups.

  • Calendar & Appointment Management: Oversee client calendars, schedule appointments, and organize annual review meetings.

  • Agent Support: Assist in the onboarding of new agents, ensuring they have the tools and resources needed to start effectively.

  • Communication Management: Handle email correspondence, manage communications, and coordinate tasks and projects.

  • Research & Information Gathering: Conduct research and gather necessary information to support the financial team.

  • Task Coordination: Oversee task and project management to ensure timely completion of deliverables.

  • Document Preparation: Assist with time management, document preparation, and handling to support the team’s operations.

  • SOP Development: Create and refine Standard Operating Procedures (SOPs) and training tools for improved efficiency.



Requirements
  • Proven experience as an executive assistant or similar role.

  • Proficiency with Outlook, Microsoft Office Suite, and Zoom.

  • Strong organizational and multitasking skills.

  • Excellent written and verbal communication abilities.

  • Ability to work independently and maintain confidentiality.

  • Detail-oriented with a proactive approach to problem-solving.

  • Previous experience in a financial or client-focused environment is a plus.
