• Provides high-level administrative support and assistance to the CEO, President, Chief of Staff, and/or other assigned leadership staff.
• Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
• Arranges travel and accommodations for executives (Ramp - Tim, Travel - Tim + NAB + OPS).
• Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
• Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
• Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
• Maintains and reviews executive calendars daily and weekly for issues/overlaps, updating the meeting document and sending weekly emails and daily text reminders (Calendar Maintenance / Calendar Doc + Weekly Email).
• Drafts emails and builds up to drafting communications for the leadership team (Email drafts).
• Plans and coordinates All Hands meetings, including organizing food, games, and checking in on slide completion (All Hands Planning).
• Follow up on all small projects, checking in on progress and ensuring accountability.
• Performs additional duties as assigned by executives.
• Performs other related duties as assigned.
