Job description

This is a remote position.

A dynamic, forward-thinking organisation, dedicated to delivering data-driven solutions and operational excellence across financial sector is currently seeking a proactive and highly organised remote Office Manager, to join their team on a half-day basis (20-25 hours per week) for a 12-month fixed term contract. This role is perfect for someone who thrives in a structured environment, enjoys wearing multiple hats, and is looking for a flexible work arrangement while still making a meaningful impact in a fast-paced environment.

The Office Manager is a vital support role responsible for managing the day-to-day administrative and office operational functions of the organisation, ensuring efficiency and a well-organised work environment. This individual will provide administrative assistance across projects, optimise office processes, and support the smooth functioning of the team. This role involves building administrative capacity and supporting organisational growth.


Responsibilities:

Administrative Support and Data Management
  • Handle daily administrative tasks, including organising documents, managing correspondence, and scheduling meetings.
  • Maintain an organised online filing system to ensure information is easily accessible and up-to-date.
  • Conduct basic desktop research to support team projects.
  • Accurately input, update, and maintain data in organisational databases and spreadsheets.
  • Assist in preparing minutes, summaries and reports based on meetings
  • Ensure timely and clear communication across the team to facilitate seamless operations.

Basic Financial Administration:

  • Assist with managing budgets and tracking expenses under the guidance of management.
  • Process invoices and payments, as directed.
  • Oversee the company’s automated bookkeeping software to ensure accurate financial tracking.
  • Monitor invoices, expenses, and financial records through the system.
  • Support budget management processes as needed.

Resourcing and Onboarding Support:

  • Assist in the onboarding process for new hires, ensuring alignment with company values and objectives.


Requirements
  • Minimum 3-5 years of experience in an administrative support or office management role.
  • Strong attention to detail and excellent organisational skills.
  • Effective written and verbal communication skills.
  • Proficiency in Google Docs and/or  Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Strong problem-solving skills.
  • Ability to work independently and as part of a team.
