Operations Coordinator Role Description
The Operations Coordinator plays a key role in supporting business operations and will gain exposure to many facets of the business. Responsibilities include coordinating annual strategic plans, managing all-hands events, software support, and office management. This role will likely evolve over time and the ideal candidate is passionate about supporting the dynamic operational functions of Stok. This position requires a detail-oriented, tech-savvy, adaptive and communicative individual who can support various teams to enhance efficiency and productivity.

Responsibilities
BUSINESS OPERATIONS
Assist in the development, implementation, and monitoring of annual operational plans.
Coordinate across departments to proactively manage the timing and resourcing of key operational events, ensuring deadlines are met.
Oversee logistical planning and execution of annual company retreats, annual Partner retreats, and quarterly all-hands meetings.
Facilitate bi-weekly all-hands meetings, including managing the agenda.
Improve and manage the quarterly reporting process.
Serve as the coordinator for two key departments – Kaizen Pod (Process Improvement) & Vision Pod (Strategic Planning) by:
Taking and organizing meeting notes
Documenting and following up on action items in ClickUp
Ensuring OKR deadlines are met
SOFTWARE AND TECH ASSISTANCE
Support the Director of Operations in optimizing workflows and improving business efficiency.
Troubleshoot software-related issues and coordinate with the IT manager to ensure timely resolution.
Manage updates, user support, and training for key operational software, including SharePoint, ClickUp, and Teams.
Organize and maintain SharePoint intranet and file storage.
Document and improve technology processes to enhance usability and efficiency across departments.
OFFICE MANAGEMENT
Manage San Francisco office, including:
Ordering office supplies and groceries.
Planning office events & coordinating food orders.
Overseeing facility management (repairs, cleaning, etc.).
Oversee company-owned apartment in San Francisco by:
Furnishing and maintaining the space.
Managing bookings and check-in/check-out procedures.
Coordinating facility needs (repairs, cleaning, etc.).
Remotely support Denver office management, including:
Ordering office supplies and groceries.
Coordinating food orders for office events.
Qualifications
What you’ll need to be successful in this role:
Bachelor’s degree in Business Administration, Operations Management, or a related field (or equivalent experience).
2+ years of experience in operations, administration, or a similar role.
Strong problem-solving skills with the ability to troubleshoot software and process-related issues.
Excellent organizational and project management skills with keen attention to detail.
Strong verbal and written communication skills.
A positive, can-do attitude.
Ability to work independently while effectively collaborating with cross-functional teams.
Ability to facilitate large meetings with confidence.
Additional experience we’d be excited for you to bring
(not required, but a bonus to our team):
Experience with SharePoint.
Experience with ClickUp.
Experience in managing IT requests.
Familiarity with process improvement methodologies such as Lean or Six Sigma.
Prior experience in internal communications or operational strategy.

This role’s preferred location is San Francisco, CA. We prefer for this individual to be in our San Francisco office at least twice per week.
COMPENSATION RANGE: $64,000-$80,000 based on market location and experience.
