The primary purpose of this position is to complete the administrative functions for every won opportunity, to closely work with our Project Management and Sales Teams to ensure complete and efficient customer setup, and finally to generate precise billing and financial data on these contracts going forward.
JOB RESPONSIBILITIES
Receive and process incoming won opportunities from Salesforce to Service Now. This includes:
Monitoring of daily Salesforce emails and reports
Staging all Service Now financial forms β contracts, work types, rate cards, expense lines, etc.
Submitting all new materials to colleagues and management for Contract Quality Assurance through the Service Now contract approval procedure
Project Setup and Communication to Project Management team:
Setting up Service Now projects with initial templates, benefit plans, and various other administrative support information
Notifying and working closely with PMO leadership to ensure complete and efficient transfer to onboarding team
Ongoing Contract Management and Billing for all service now contracts, projects, and other services through expense line review and processing. These lines will provide invoice data for all monthly recurring revenue, project fees, and hourly fees.
Supplement and report detailed financial information to Ascend Finance department by providing context and further analysis to contract structure, onboarding timelines, customer churn information, project statuses, change orders, hourly usage trends, drops or increases in monthly recurring revenue
Demonstrate clear and precise communication with all adjacent departments, wherever Service Operations are concerned
Train and onboard new hires to Service Operations
Partner with other teams on internal project and growth initiatives, specifically those relating to internal tools and procedures
Other Responsibilities as assigned by management
Requirements
1-2 years of Account Management experience
Advanced computer skills, including Microsoft Office applications, specifically Microsoft Excel
Finance and IT experience is a plus
ServiceNow experience is a plus
JOB REQUIREMENTS
Should be willing to accept a long-term work-from-home arrangement.
Should be amenable to a permanent night shift schedule.
