Starting pay $16.91 per hour +,depending on skills/experience

Position =   Part-Time (PRN), Remote Surgery Scheduler

POSITION SUMMARY:

  • The Surgery Schedule Coordinator works with patients, surgeons, and facilities in the scheduling of surgery, may do financial counseling and preop education. Completes necessary paperwork and documentation with patients and provides surgical packets to physicians at the ASC/hospitals. Surgery Schedule Coordinators ensure the insurance coverage and patient balance is conveyed to patients and collected two weeks in advance based on clinic process and procedure.  Responsibilities include coordinating with Patient Accounting and obtaining prior authorizations and transmitting vital clinical info, POA issues etc. to ASC/hospitals.

The Surgery Schedule Coordinator Job Duties May Include:

  • Reviews surgeon's schedules filling reschedules/cancellations, and assisting in chart preparation.
  • Speaks with surgery patients to determine desired time frame and facility for surgery.
  • Reviews Health Assessment form with patient and advises of the need for medical clearance if necessary; schedules patient when clearance has been obtained.
  • Arranges for necessary testing, schedules necessary preoperative and postoperative appointments.
  • Provides detailed surgery education to the patient. Explains preoperative and postoperative instructions and restrictions, medications, eye drop and/or ointment regimen, and reviews end result focus for cataract patients.
  • Reviews all surgical consent forms with patient, including specialty specific, general consents as well as other consents if appropriate (i.e. co-management, bilateral cataract surgery, custom IOL, etc.).
  • Ensures Power of Attorney paperwork is in place for all surgery patients when required.
  • Completes all surgery scheduling templates in NextGen generating surgery orders, Health and Physical and all other patient forms to be sent to the surgical facility.
  • Verifies insurance using the iPas system daily for patients scheduling surgery. Generates the report card at the end of each day and corrects errors in iPas and NextGen as needed.
  • Codes all surgical procedures with proper CPT and ICD-10 codes for surgery reservation.
  • May check with patient's insurance carrier to determine coverage, facility restrictions, prior approval or pre-admission criteria and obtains prior authorizations as needed.
  • Runs the Estimator in iPas for all eligible surgery patients, provides patient with clear explanation of estimated professional fees they will be responsible for prior to surgery and attempts to collect professional surgery fees.
  • May assess each patient's financial resources to determine the best financial arrangement to meet his/her needs, including outside funding sources that may be available (i.e. Copay Assistance Program, Emergency Eye Care).
  • Enters notes in the patient encounter detailing all collections for the day and generates a balanced batch sheet daily.
  • Collaborates with Patient Accounting and ASC/hospital staff to ensure optimal communication regarding reimbursement for surgery.
  • Works closely with surgeons and other clinical staff to address patient concerns, visual outcomes and other surgery concerns.
  • Works closely with the ASC/hospital staff providing charts in a timely manner. Collaborates as necessary with IOL Processors.
  • Arranges for any special needs during surgery (donor tissue, frozen sections, K-readings, implants, etc.). May contact all surgery patients up to one week in advance to confirm surgery date, location and check in time.
  • May be responsible for covering the Surgery Triage Line on a rotating basis to manage surgery patient phone calls.
  • Exhibits behaviors which create a high level of patient and employee satisfaction which maintains the credibility, integrity and positive image which supports the mission, goals and operations of EANM.
  • Contributes to continuous performance improvement.
  • The annual completion of assigned Learning Management System (LMS) courses is mandatory.  Any individual who has not completed their assigned training prior to November 30th of each year may be subject to disciplinary action, up to and including termination of employment.

SKILLS/QUALIFICATIONS:

  • Job requires high school education or equivalent
  • Medical terminology and previous PC experience helpful
  • Previous medical experience and an aptitude for working with people important
  • Use of office machinery and equipment essential.  
  • Strong written and verbal communication skills and excellent organizational skills are required.
