Min of 2.5 years Proven experience as a Legal Assistant or in a similar administrative role in a law firm. Strong understanding of legal procedures, terminology, and documentation. Excellent communication skills, both written and verba (English Neutral Accent). High attention to detail and ability to prioritize tasks effectively.
Core responsibilities:
Set hearings, depositions, and meetings for attorneys, ensuring all appointments are scheduled accurately. Maintain and organize the attorneys calendar, ensuring no conflicts and that all deadlines are met. Follow up with clients to ensure their needs are met and respond to information requests. Communicate with clients, other staff members, and attorneys to gather information and provide case status updates. Update and maintain the CAQH (Council for Affordable Quality Healthcare) database as required.. Prepare and organize documentation for cases and client meetings. Coordinate with other team members to ensure smooth operation of the office. Assist in drafting legal documents and correspondence as needed. Organize and maintain client files, ensuring that all necessary documents are up to date. Support paralegals by scheduling and tracking appointments, ensuring all necessary documents are gathered in advance. Assist with billing processes, including tracking time, using billing software, and resolving billing-related issues. Coordinate administrative tasks to support the smooth operation of the office. Help manage updates for an external business, including updating information with insurance companies as needed.
Bonus Qualifications (preferred, not required) Legal Assistant with Paralegal experience with deeds, power of attorney, wills, and trusts. Knowledge of estate planning and related legal documents.
